I think the 25 will work. There will be a bunch of PD promotions and swearing’s ahead of you, but the overall
agenda length should work for this too.

Just wanted to follow up with you on this purchase, that I got the cart before the horse, and make sure that Oct 25 is
ok for me to take this to council. Mitch, I spoke to Travis this morning and wanted to catch you up too.
As you know, equipment purchasing has gotten crazy during COVID. Lead times are sometimes greater than a year and
sometimes things are just flat out not available. Also, in some cases pricing isn’t stable and changes happen
frequently. So after our FYE22 Budget was approved by Council, Rob started to begin looking into the purchase of the

Hydro Excavator. He discovered mid-September, that there was only 1 available for the foreseeable future and after
that, the company had no way to commit to finding another available piece of equipment. Rob spoke to me and
explained that if we signed the contract with an acceptance date of Oct 1, that they could lock us in to the purchase,
otherwise we would miss the opportunity. Knowing it was going through a cooperative agreement, I told him to go for
it. That is where I got ahead of myself. In the back of my mind, I was thinking that staff had the authority to make all
purchases on cooperative agreements. When reviewing the resolution today, I realized that only applied to informal
purchases, which this is not. It was an oversight, one that hasn’t happened to me yet and I would like to take this to
Council to get their approval, like I should have to begin with. I believe that if I need to back out of the contract, it would
be a possibility as they will likely have other people interested. Ideally, we won’t want to, and I would like to get Council
approval and correct the administrative mistake.
